Milo Privacy Policy

Last updated:

Your conversations belong to your group. Milo is designed to make those conversations more helpful, enjoyable and personal, while respecting the information you share.

We use private conversation content to provide Milo’s features and support the operation of the service. We do not sell your personal information, use private conversations for advertising or public promotional material, or repurpose their content for unrelated commercial activities.

This policy explains how Milo’s operator, referred to as “we”, “us” and “our”, handles information when you interact with Milo or use our website. It applies to group members as well as the person who adds Milo.

1. How Milo interacts with your group

Milo does not browse or scrape your group’s conversations from before he joined. Earlier content becomes available to him only if someone shares it, for example through a quoted message or screenshot.

After joining, Milo receives new group messages delivered by Telegram. He normally replies when someone mentions him, calls him by name or replies directly to one of his messages. He may also send a welcome or necessary service message.

Milo analyses photos and screenshots only when you ask him to through a supported caption or reply.

2. What we use information for

We process conversation content and relevant group context to understand requests, generate answers and provide Milo’s features. These include finding information, comparing options, making plans, performing calculations, understanding images and creating Group Lore.

Milo can also retain useful group memories, such as preferences, shared interests, recurring plans, inside jokes and stories. These memories help Milo get to know your group over time. They are treated as confidential and used only to provide and support Milo’s features.

Answers appear in your group, so information included in an answer or Group Lore may be visible to other members. Members can also save or forward messages themselves.

We handle information needed to maintain reliability, protect the service, respond to feedback and support group invitations. Basic installation information may be recorded to attribute invitations and understand how Milo is being added to groups.

Information may also be processed or disclosed where required by law or where a specific lawful exception applies.

3. Messages, memories and retention

Raw conversation messages in Milo’s message database and saved processing records are subject to automatic deletion on a 14-day retention schedule.

Useful group memories are stored separately. They do not follow the same 14-day schedule and may remain after the original messages are deleted, while needed for Milo’s group features. You can contact us about personal information held in these memories and request deletion.

Feedback, other service records and information held by service providers may have different retention periods. The 14-day schedule is not a promise that every copy across every system is erased at the same time.

Our retention policy is to delete or anonymise personal information when it is no longer needed for the purposes described here or for legitimate business or legal requirements.

Removing Milo stops future message delivery from your group. Automatic deletion of Milo-held group data following removal is currently being developed. Until this feature is available, you can request deletion of existing memories and retained records by contacting us.

Deletion from Milo does not remove messages held by Telegram or copies saved by other members.

4. Service providers and protection

Milo uses services including Telegram, OpenAI, Google Maps, and hosting and automation providers to deliver his features.

Relevant messages and context may be processed by OpenAI to generate answers or maintain useful group memories. Relevant search and location information may be processed by Google Maps when you request place or itinerary assistance.

These providers may process information outside Singapore and have their own retention arrangements. Applicable data protection requirements continue to apply to overseas processing.

Access to personal information is restricted to what is necessary to operate, maintain and protect Milo, address support requests or meet legal obligations. Service providers may also permit authorised access for their operational, security and legal purposes.

We take reasonable measures to protect personal information and restrict unauthorised access. Any required security-incident notifications are handled in accordance with applicable law.

5. Website feedback

When you use the Contact page, we receive the feedback you submit so we can review suggestions, address problems and improve Milo.

Feedback is stored and delivered through our internal notification services for review. Information necessary to deliver and protect the website may also be processed by hosting services.

The website does not currently use advertising trackers or analytics tools.

6. Your choices and privacy requests

A group administrator can remove Milo at any time. Members should be aware that Milo has joined and receives new group messages.

You can contact us to request access to your personal information, ask how it has been used or shared, correct inaccurate information, request deletion or withdraw consent where applicable. This includes information retained in group memories.

We may need to verify your identity or authority before acting, while protecting other members’ privacy. We will explain any applicable limitations, information that must be retained, or consequences for Milo’s features.

For privacy enquiries and requests, contact the person responsible for Milo’s data protection:

Email: team@ayencorp.me
Contact form: milo.ayencorp.me/contact

Start your message with “Privacy request” and provide enough information to identify the relevant account or group. If using the Contact form, include a way for us to reply. Please do not send passwords or login codes.

Nothing in this policy limits your rights under applicable data protection law.

7. Policy updates

We may update this policy as Milo develops or legal requirements change. The latest version will be available on this page with its updated date.

Where changes materially affect how personal information is handled, we will provide appropriate notice and obtain consent where required.
